Volunteering at CALC 2025

We’re looking for awesome people to help make this year’s conference a success! Volunteering is a fantastic way to get involved, meet new people, and be part of an amazing community. There are lots of teams to choose from—social media, photography, kitchen, general support, and more. You’ll find a detailed description of all teams below. All volunteers will have free access to the entire conference.

Task description for all volunteer teams

  • (2 volunteers per shift, you’ll have the option to sit or stand during this task).

    Be stationed at the check-in table near the entrance.
    Tasks include:

    • Welcome people as they arrive

    • Scan tickets

    • Give out name tags and colored bracelets

    • Be ready to answer general questions about the conference (e.g., schedule, venue layout, facilities)

  • (2 volunteers per shift, covering all rooms, may involve lifting up to 7 kg)

    Help ensure the venue remains clean, comfortable, and welcoming. Tasks include:

    • Collect and remove used dishes, cups, and cans

    • Wipe down tables and other frequently used surfaces

    • Take out trash as needed

    • Regularly check bathrooms for soap, paper towels, and toilet paper; restock as necessary

    • Tidy up common areas (e.g., straighten chairs, pick up litter, keep entryways clear)

    • Restock snack stations (fruit, chips, etc) and keep them clean and organized

  • (1 volunteer at a time, stationed at the bar in the main room. You’ll stand during this task, no opportunity to sit behind the bar due to spatial restrictions)

    Tasks include:

    • Sell drinks (all beverages are in cans – no bartending required)

    • Refill the coffee station as needed

    • Refill the water station as needed

    • Keep the bar area clean and organized (wipe surfaces, dispose of trash, restock supplies)

  • (2 volunteers per shift, circulating through all rooms)

    Provide a compassionate, calm, and supportive presence for attendees. This role is about being available, approachable, and ready to help if someone has a difficult or uncomfortable experience.

    Tasks include:

    • Be visibly present and easy to find during your shift

    • Ask open questions and don’t incorporate your personal biases

    • Maintain confidentiality and communicate what you will share with the organizers

    • Be ready to listen and support anyone who needs someone to talk to

    • Respond with empathy and discretion to any concerns raised

    • Regularly check the online form and take appropriate action if something is reported

    • Maintain a calm, non-judgmental, and supportive attitude at all times

    • Understand your limitations and tag someone else in if necessary

    We want to emphasize that the Community Care Team members are trusted to respond to sensitive situations seriously, respectfully, and compassionately.

  • (3 volunteers per shift)

    Very small, crowded, hot, and noisy environment. Fast-paced, physically demanding work with no possibility to sit  in the kitchen. May involve lifting up to 10 kg.
    Tasks include:

    • Assisting the kitchen coordinator in preparing all meals for the conference

    • Washing, peeling, cutting, and prepping vegetables

    • Serving food to people (buffet style)

    • Cleaning the kitchen, including during food preparation

    • Washing dishes (industrial dishwasher available)

  • (2 volunteers per shift)

    One volunteer supports the main stage, the other the workshop area. Most work happens before and after sessions, but you'll stay present throughout to assist as needed.
    Tasks include:

    • Support with technical equipment (projector, microphones, TV)

    • Setting up the main and workshop rooms (arranging chairs, tidying up)

    • Self-sufficiency and confidence with tech are essential for this role

  • (2 volunteers per shift)

    Fully record all main stage events using provided camera and equipment. You can sit or stand, but full, undivided attention is required for at least 50 minutes per event.
    Tasks include:

    • Setting up tripod and camera 

    • Start and supervise recording (camera must never be left unattended)

    • Swap and charge batteries between events

    • Uploading footage and clearing the SD card after each event

  • (1 volunteer per shift)

    Assist the Social Media Coordinator in creating real time social media coverage of the conference.
    Tasks include:

    • Attend all events during your shift and post 1–2 stories per talk/workshop

    • Stories should include a short description of the speaker and key points from their talks

    • Must use your own phone; access to our Instagram account will be provided

  • (1 - 2 volunteers per shift)

    Take pictures and videos of the whole event that can be uploaded in our gallery or used for social media posts.
    Tasks include:

    • Must use your own camera and SD card (a laptop will be provided to offload files)

    • Take high-quality photos and videos throughout the event (photography experience required)

  • (1 volunteer per shift)

    Run last-minute errands and provide on-the-spot support to all teams as needed.
    Tasks include:

    • Run errands such as going to supermarkets or nearby stores for missing items

    • Be available for last-minute, fast-paced tasks as they arise

    • Requires clear, direct communication and adaptability

    • Stay visibly present and easy to locate throughout your shift
